Off-the-shelf systems charge per user per month. For a team of fifteen at 25 € per user that is 375 € a month, or 4 500 € a year — every year, indefinitely, rising as the team grows. A custom system from 1 000 € is bought once; after that you pay only for hosting, which usually fits within 10–30 € a month regardless of how many people use it.
In practice the threshold looks like this: if you spend more than 200 € a month on subscriptions, or have more than 8–10 users, a custom build typically pays for itself within a year. If you pay 30 € a month for one tool that suits you, do not replace it — that would be wasting money, and we will say so directly.
The second and often more important argument is not cost but the fact that off-the-shelf software forces you to work according to its logic. When a process does not fit the standard fields, the team starts keeping a shadow spreadsheet alongside the system. That shadow spreadsheet is the clearest sign you need something of your own.
The most common mistake is trying to build everything at once: clients, projects, invoices, inventory and reports. Such projects run for six months, cost tens of thousands and often never launch, because the processes themselves change in the meantime.

That means when you arrive with a process, you get people who have already solved the same problems for themselves: how to design permissions, what to do about duplicates, how to read a document so nothing is typed by hand, how to build a report people actually use. A system starts at 1 000 € and the price depends on almost exactly three things: how many distinct user types with different permissions are needed, how many external systems must be connected, and how complex the business logic is (calculations, rules, automated actions). Design and page count barely matter here.
The timeline is 4 to 8 weeks for the first phase. It takes longer when old data must be migrated from spreadsheets or another program: that is technically straightforward but requires your time to decide what is still relevant. Worth planning for in advance, as it is usually what pushes the deadline.
The price is fixed in the contract before work starts and does not change. If new ideas appear mid-project — and they almost always do once the team sees a working tool — we quote them separately as a second phase, so the first one launches on time.
Data is stored on servers within the European Union, and access is governed by user permissions: each person sees only what they are supposed to. That matters not only for GDPR but practically — a sales representative has no need to see company finances.
All system code and the database are your property. You can export the data at any time in a standard format, and if you ever want to hand the system to another team, they receive the full code and documentation. We do not build a dependency where the only way to keep using your own system is to keep paying us.
We almost never suggest scrapping everything and starting over. Accounting software, email, calendars or inventory systems usually stay — they are simply connected to the new system so data does not have to be entered twice. We integrate Gmail, Google Calendar, Google Drive, accounting packages, Paysera payments, Stripe and most tools that expose an API.
If a program has no API — which does happen in Lithuania — file exchange or automated export parsing often remains an option. During the consultation we check your specific case and tell you what is feasible and what is not, before any contract is signed.
